Position Title: United States Province Assistant Controller
Department: Treasurer Office
Location: Belleville, Illinois FLSA Status: Onsite: Exempt/Full-Time
The assistant controller would be responsible for overall business activities and financial position of Oblate Missionary Society, Inc (OMSI). Prepares and directs the preparation of financial statements, audits, budgets, forecasts and other financial data. Collaborates with each fundraising location to provide financial guidelines and policies, present findings and financial results and prepare financial analysis for the Oblate Executive Director. This position works in concert with each location for a collaborative, team approach for the overall financial health of the organization. The Assistant Controller also relates to the
Treasurer’s office of the US Province.
Essential Duties and Responsibilities
- Supports the Oblate Executive Director with the financial efforts of OMSI as a common endeavor, involving multiple locations.
- Works with the Treasurer’s office of the US Province in the execution of the duties and responsibilities outlined in the OMSI Bylaws (5.04 D).
- Collaborates and builds consensus among the financial locations for current and future written procedures and policies for all aspects of the financial accounting department; i.e., (purchasing policy, internal controls, company credit cards, travel expense reimbursements, separation of duties, etc.), where
applicable. - Supports the OMSI Associate Oblate Director in identifying and providing research for appropriate benchmarks and key activity measures (response rate, average gift, revenue, costs of programs, cost per dollar raised, etc.).
- Supports the Oblate Executive Director along with the OMSI Coordination Director in coordinating an OMSI business plan.
- Supports OMSI’s efforts to be accountable and transparent, in conformity with legal requirements and the assurance of funds raised are used for the specified purpose.
- Responsible for preparing quarterly reports for the Oblate Executive Director to submit to the OMSI Board.
- Oversees OMSI audits of financial statements at all locations.
- Responsible for preparing year end audited financial statements.
- Collaborates with the Director of Operations at each location, oversees the OMSI budget preparation, and submits the budget to the Oblate Executive Director and the OMSI Board.
- Supports the Oblate Executive director with establishing financial guidelines for the fundraising locations.
- Prepares and presents audit findings and financial analysis to the Oblate Executive Director.
- Responsible for planning and directing ledger accounts, financial statements and cost accounting/control systems.
- Plan and accomplish organizational goals with respect to both revenue growth and cost containment
- Ability to work independently and possess good decision making skills
- Performs other duties as assigned.
Work Hours: Monday through Friday 40 hour work week
Qualification Requirements
- Must have knowledge and understanding of non-profit fundraising operations.
- Ability to communicate (verbal and written) in a clear productive and professional manner.
- Ability to work effectively and collaborate with other team members, directors, Oblates and vendors.
- Ability to facilitate creation and implementation of multiple strategies to coordinate common fundraising efforts and approaches.
- Ability to analyze, clearly communicate and clearly interpret financial data.
- Skills in creativity, critical thinking, problem solving, negotiating, decision-making and interpersonal relations, required.
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and other office application tools, required.
- Ability to prioritize multiple requests and maintain confidentiality with work related matters.
Experience & Education
- Bachelor’s degree in accounting; with a minimum of 5 years’ experience. Must be familiar with common accounting principles and accounting software.
