Position: Business Operations Manager
Position Status: Exempt

POSITION SUMMARY

Manages office activities for both the Shrine and Shrine Gift Shop

Essential Duties and Responsibilities

  • Point person for maintenance, mailing, shipping, supplies, equipment, bills and errands
  • Partner with HR to maintain office policies as necessary
  • Provide general support to visitor
  • Manage schedules, calendars, and appointments
  • Prepare timekeeping for payroll processing
  • Ensure that results are measured against standards, while making necessary changes along the way
  • Allocate tasks and assignments to subordinates and monitor their performance
  • Assist with preparing annual budget for the office, planning the expenditures
  • Responsible for developing standards and promoting activities that enhance operational procedures
  • Design and implement filing systems
  • Ensure security, integrity, and confidentiality of data
  • Oversee adherence to office policies and procedures
  • Analyze and monitor internal processes
  • Coordinate schedules, appointments, and bookings
  • Monitor and maintain office supplies inventory
  • Review and approve office supply acquisitions
  • Handle customer inquiries and complaints
  • Maintain a safe and secure working environment

Personnel Management

  • Coordinate with HR for recruiting staff for the office and providing orientation and training to new employees
  • Evaluate and manage staff performance
  • Recruit and select office staff
  • Organize orientation and training of new staff members
  • Manage internal staff relations

Office Administration

  • Responds to all calls and requests for information and welcomes and assists visitors to the facility
  • Organize office operations and procedures
  • Coordinate with IT department on all office equipment
  • Manage relationships with vendors, service providers and landlord, ensuring that all items are invoiced and paid on time
  • Manage contract and price negotiations with office vendors, service providers and office lease
  • Responsible for managing office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are designed, supply requisitions are reviewed and approved and that clerical functions are properly assigned and monitored
  • Establish a historical reference for the office by outlining procedures for protection, retention, record disposal, retrieval and staff transfers
  • Ensure office efficiency is maintained by carrying out planning and execution of equipment procurement, layouts, and office systems
  • Responsible for developing and implementing office policies by setting up procedures and standards to guide the operation of the office

Education and Experience

  • High School Diploma or GED is required, Bachelor’s degree is preferred
  • Minimum of six years of office management experience is required
  • Minimum of two years of experience as a supervisor is required

Skills and Qualifications

  • Basic supervisory and training skills are required
  • Excellent written and verbal communication skills are required
  • Proficiency in basic computer office applications programs (Ex: Microsoft Office software suite) and standard office machines is required
  • Must be detailed oriented, able to work independently or with a team, can compile data, and prepare routine reports
  • Must be able to work under time constraints, have sound judgment, a professional presence, and decision-making abilities
  • Knowledge of the history, charism, and mission of the Missionary Oblates of Mary Immaculate is preferred
  • Knowledge of the Roman Catholic Church and its values is required

Work Environment

The work environment characteristics are those commonly associated with a business office. The amount of physical activity is light to moderate. Performing the essential duties of this job requires the ability to lift supplies less than 20 pounds by self, manipulate various types of office and mechanical apparatus, a fair amount of sitting, weekly walking tours of the complex, and the ability to see and communicate with others in sometimes noisy environments.
