The Oblate Service Corporation is seeking applicants for DEVELOPMENT ASSISTANT to THE VP FOR INSTITUTIONAL DEVELOPMENT position at the Oblate School of Theology (OST). The Oblate School of Theology is a graduate and professional school that provides education in Catholic theology for the
church’s mission and ministry in the world. An avenue to bring together diverse cultures, OST educates for mission.

POSITION: DEVELOPMENT ASSISTANT TO THE VP FOR INSTITUTIONAL ADVANCEMENT

POSITION STATUS: Part-Time, Non-Exempt

SUMMARY: The Development Assistant to the Vice President for Institutional Advancement reports directly to the Vice President for Institutional Advancement. The Development Assistant to the VP for Institutional Advancement will work in partnership with the VP for IA to identify and steward donors; help with direct mail appeals and other written materials in support of fundraising activities. The Development Assistant will have secondary responsibility for the data entry of all donations received. This person should have past database experiences and be able to adapt quickly to the Raiser’s Edge System or other database management system that is in place. Information needs to be entered into the Razor’s Edge database accurately and acknowledgements must be out in a timely manner. Provide administrative support to VP for Institutional Advancement in promoting organizational goals and objectives. Arranges details for IA staff meetings, IA committee of the Board meeting and other meetings as needed; along with preparing meeting notes. Work with Administrative Assistant to ensure donations are properly acknowledged Work with VP for IA in preparation of follow-up letters to meetings and events; acknowledgement letters
for gifts, cultivation letters; letters of inquiry; proposals; donor contact reports; donor impact reports and appeal mailings. Work with Administrative Assistant to coordinate annual mailings, special event mailings and any other mailings that may occur during the year. Work with VP for IA on coordination of a comprehensive individual donor cultivation program – Moves Management – to include scheduling donor contacts and contacting donors, moving donors to major and planned gifts. Works with Administrative Assistant to pull reports needed for donor cultivation, such as donors who give $100+ for phone calls and
planned giving prospect reports based on annual giving. Work with VP for IA to prepare call reports for President. Works with Administrative Assistant to plan and execute special events. Provide support to marketing as needed. Maintain internal records and other confidential files. Coordinate travel arrangements

WORK HOURS: Monday through Friday, up to 29 hours per week.

EDUCATION/SKILLS:

  • Bachelor’s degree, public relations, marketing, or communication science, preferred.
  • At least two years of increasingly responsible administrative experience, required.
  • Experience working in a non-profit setting, preferred.
  • Proficiency in Microsoft Office applications, required.
  • Excellent verbal, written and interpersonal communication skills, required.
  • Exceptionally well-organized and strong ability to prioritize.
  • Ability to work in a demanding and growing environment.
  • Knowledge and ability to work with Donor Databases required (Raiser’s Edge preferred.)
  • Proficiency in using Zoom meeting application, required.
  • Bilingual skills, (English and Spanish), preferred.
  • High level of professionalism and service.
