JOB OPENING
The Missionary Association of Mary Immaculate USA, a division of Oblate Service Corporation, is seeking applicants for GROTTO EVENT MANAGER and COORDINATOR of LITURGY at the Oblate Lourdes Grotto y Tepeyac. The MAMIUSA is a nonprofit mission development and fundraising office, located in Belleville, Illinois and San Antonio, TX.

POSITION: GROTTO EVENT MANAGER AND COORDINATOR OF LITURGY

POSITION STATUS: Full-time, Exempt

POSITION SUMMARY:

  • The Event Manager and Coordinator of Liturgy is responsible for planning including logistics, implementation, and coordination of tasks and resources (employee or volunteers) while meeting multiple deadlines.
  • Manages, coordinates, and executes scheduled liturgical and religious events, priest stipends, facilitates live streaming of Masses, liturgies to meet the stated vision and goals that have been outlined to include set-up, staging and cleanup for special feast days and fundraising efforts under the direction of the Director of Grotto Ministries;
  • Manages janitorial and light maintenance of Grotto Grounds and buildings;
  • Manages support staff for liturgical and religious activities, special events, fundraising efforts to ensure the Oblate charism to the Grotto visitors and patrons.
  • The Department Head and/or Directors have the discretion to shift priorities and resources as needed to align with the Grotto Ministries priorities and goals.
  • Coordinate assigned Liturgies, Trainings, Events and/or Gatherings including event planning, facilitation, implementation, and promote events.
  • Organize event administration necessary for the related event/liturgy celebration. Ensures that the Pastoral Vision and Values are featured prominently in conferences, retreats, liturgies, trainings, workshops, and other events.
  • Proposes ideas and creatively develops the event or liturgy plan by conducting research, site visits and building effective teams. Manages all staff, volunteer committees, including recruiting and coordinates the cross-functional team comprised of volunteers, clergy, religious and laity. (Ex: Sacristans, Lectors, Eucharistic ministers, maintenance & janitorial personnel, hospitality food & kitchen coordinators, weekend coordinators, etc.)
  • Oversees all logistics of an event such as food and beverage, venue, scheduling, entertainment, equipment setup, and exhibits.
  • Secures offerings received from Grotto visitors and attendees at religious functions.
  • Purchases all needed materials for events; procures, maintains, and inventories materials used in Grotto functions and activities in accordance with approved specifications and guidelines.
  • Creates and develops detailed event proposals through strategic meetings with department directors and Pastoral Council that includes the vision for the event, timeline, targeted participants, recommendations for speakers and groups to include, available resources, brief event history, opportunities for growth, and other applicable planning components.
  • Develops marketing concepts through on – site signage to note special events and activities to include website updates. Production, print, and distribution process while being consistent with the Grotto Pastoral Ministry branding. Performs other duties as assigned.

WORK HOURS: Work week can either be Sunday to Thursday or Tuesday to Saturday, depending on the week scheduled for rotation. Special events may require evening work.

EDUCATION/SKILLS:

  • Associates degree in Business Administration, Marketing, Pastoral Ministry, Theology / Religious Studies, Hospitality, or business-related field, or equivalent experience, required.
  • Bachelor’s degree preferred. Minimum of two (2) to three (3) years’ experience in event planning, including event logistics, customer service and project management, required.
  • Experience in ministry is preferred. Reliable transportation, vehicle insurance and valid driver license, required.
  • Bilingual, English/Spanish, preferred.
  • Must be a Roman Catholic in good standing with familiarity of the faith. Working knowledge of Microsoft office suite; including Excel and Publisher, required.
  • Must have a high attention to detail and be able to organize workflow, coordinate activities in a fast paced environment, balance simultaneous projects without loss of efficiency in a multi-tasked environment while meeting deadlines.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists, required.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.
  • Must be detail oriented, organized, self-motivated, work well independently and on a team.
  • Must have strong written and verbal skills.
  • Must demonstrate strong critical thinking and problem-solving skills.
